Enrollment System

The Accounting Office is charged with the preparation of financial statements and other records, recording all official financial transactions, journal entries and account classification and keeping and maintaining complete, accurate and update subsidiary ledgers for all accounts. The University offered 14 courses with specific major fields and 2 short term programs. And as of 2006-2007, there are 1,750 enrollees in the university and it increases every year. This computer based enrolment system will help the university to handle some of the student in CvSU Rosario.

This also improves the image of school as a prospective employer to applicants. This will also be a big help to all the enrolment staff especially under the computer department because they are the one who are entitled to touch and read the information from here. It will help that institution to have another system that will upgrade the enrolment processes so as to meet the quality that institutions are trying to meet. Statement of the Problem Importance of the Study

Computer Based Enrollment System aims to promote a quick, cost-effective and efficient method of managing the enrollment process of Cavite State University – Rosario Campus. The project’s goal is designed to make enrollment process stress free for both the student and the university. Computer Based Enrollment System will also make the collaboration of Accounting Office, Registrar’s Office and Cashier’s Office easy by linking all students’ enrollment information. The computer based enrollment system will lessen the effort of faculty staff in storing files of each student every now and then.

This will also serve as information especially for the irregular students, freshmen, transferee, and professor in able to get the access in course, subject, professor and students. This system also provides a statement of account that shows the list of history of payments, the total amount paid and the remaining balance per students enrolled. Cavite State University – Rosario is the main beneficiary of the proposed system. The develop system will be handle the flows and problems of an organization. Adapting this innovation of technology will lead to optimum performance.

The proposed design with regards to the registrar and accounting department will help the school in maintaining the information of the students. Objectives of the Study The main objective of the study aimed to develop a Computer Based Enrollment and Statement of Account Management System of Cavite State University – Rosario. Specifically, it aims to accomplish the following objectives. 1. to identify the problem through preliminary investigation and interview. 2. to analyze the problem through fishbone diagram and graphs. 3. o design a Computer Based Enrollment and Statement of Account Management System of Cavite State University Rosario of the database that will use for the system with the use of Class Diagram. 4. to develop the system using Visual Basic 2010 for its application program interface and MS SQL Server 2008 for its backend and database. 5. to evaluate the system through testing on how reliable and accurate the enrollment and management system through unit testing. 6. to implement the system that will help the university generate a quick in efficient data they need.

Time and Place of the Study This proposed system was conducted at Cavite State University –Rosario. The development of the documentation and the system began from June 2011 to March 2012. The developed system will be done at Cavite State University Main. Scope and Limitation of the Study The study focuses only on Computer Based Enrollment and Statement of Account for Cavite State University – Rosario. The proposed system includes: User Account Module – The system provides a module for its security purpose by entering the user account and password.

This will help the system to identify the last user of the system. The system allows only the campus administrator, accountant, registrar, and authorized personnel to enter. Some modules of the system will turn inoperative depends of the level of user account. Admission Module – This part of the system accepts the personal information of the admitted students such as name, address, birthday, gender. This module is for the upcoming freshmen students and for the transferee students. Enrollment Module – This module will provide information about the curriculums to be taken by students.

The list of subjects per year level per semester will be displayed in this module. Also, the system will automatically display the total amount to be paid by the enrollee based on the itemized payments. It will accept the type of scholarship to be discounted from the payment. Statement of Account Module – The system shows the list of history of payments, the total amount paid and the remaining balance per students enrolled. It prints the statement of account that shall be given to the students.

Report Module – This module will show a Gantt chart that displays the total of enrollees every year. It will also display the total enrollee in every course. Curriculum Module – The systems will provide different modules to manage the different curriculums offered by the university. It accepts the different subjects associated in the curriculums. The list of mode of payment each curriculum, both lecture and laboratory, are also be imparted in the system. Also, the system will provide an off-line help module to guide the user how to work with the system. Definition of Terms

Enrollment – the total number of students properly registered and/or attending classes at a school. Technology – the branch of knowledge that deals with the creation and use of technical means and their interrelation with life, society, and the environment. Database – is a collection of information that is organized so that it can easily be accessed, managed, and updated. MIS – Management Information System is an organized approach to the study of the information needs of an organization’s management at every level in making operational, tactical, and strategic decisions.

Statement of Account – a list of sums due, usually comprising unpaid invoices, items paid on account but not offset against particular invoices, credit notes, debit notes, and discounts MYSQL – is a relational database management system based on SQL (Structured Query Language). Visual Basic. Net – is a version of Microsoft’s Visual Basic that was designed, as part of the company’s . Net product group, to make Web services applications easier to develop.
